Who is responsible for your data

What we collect
When you contact us or register interest (contact, tournament and soccer school forms): your name, email address, phone number, club and anything you include in your message.
When a player signs on: the player’s name, date of birth and other details needed for registration, a photo, proof of age (birth certificate or passport), any medical information you choose to share with us, and parent or carer contact details.
When you visit the website: basic analytics information such as pages visited and device or browser type, but only if you accept analytics cookies.
Why we use it
- To answer enquiries and register teams for events
- To run club membership, collect subscriptions and keep in touch with parents and carers
- To register players with The FA and the leagues our teams play in, which is required before a player can take part in matches
- To keep players safe, including sharing information with our Club Welfare Officers, The FA or other authorities where there is a safeguarding concern
We rely on the membership agreement, our legitimate interests in running a youth football club, our legal and FA obligations, and your consent where we ask for it (for example, using photos on social media).
Who we share it with
We only share personal data where we need to: with The FA and Hampshire FA (player registration through The FA’s Whole Game System), with the leagues our teams play in, and with the service providers who host our website and forms. We never sell your data.
Photos and ID
Player photos and ID are used for FA registration. They are sent to your team manager or a committee member and uploaded to The FA’s registration system. Please let us know if you do not want your child to appear in photos on our website or social media.
How long we keep it
We keep personal data only for as long as we need it for the purposes above. Membership records are kept while a player is with the club and for a reasonable period afterwards. Safeguarding records are kept in line with FA guidance.
Your rights
You can ask to see the data we hold about you or your child, ask us to correct or delete it, ask us to restrict how we use it, or object to how we use it. Email [email protected] and we’ll respond within one month.

We use essential cookies to make the website work. Google Analytics cookies are only used if you accept them, and you can change your choice at any time through the cookie settings.
